Who we are (data controller)
The data controller is the coordinators of the Wessex Court Residents’ Group, contactable at freeholders@wessexcourt.org.
What we collect
Names, property addresses (where provided), and email correspondence from owners/agents and others who contact us.
Why we collect it (lawful basis)
To coordinate resident communications and correspondence with the managing agent and other relevant parties. Our lawful basis is legitimate interests (community coordination and estate management).
Who sees it
Group coordinators. We won’t share your data outside the group except where reasonably necessary to correspond on estate matters.
How we store it
Emails are held in our group mailbox and files in our shared drive. We take reasonable measures to protect them.
Processors & transfers
Our website host and email provider act as processors and may store data outside the UK/EEA. We rely on their standard safeguards (e.g., SCCs/UK IDTA) where applicable.
Retention
We keep correspondence for as long as needed for ongoing estate issues and then delete it. We review the mailbox and shared drive at least annually.
Your rights
You can ask to access, correct, delete, or object to our use of your data. Contact freeholders@wessexcourt.org.
Complaints
You can raise concerns with the UK Information Commissioner’s Office (ICO). We’d appreciate the chance to resolve your concerns first.
